Viewing the Status of Work That's Been Forwarded for Approval or Feedback
Whilst you're waiting for your team members or colleagues to respond to work that you've forwarded for approval or feedback, it may be handy to know that there are a range of tools in admation that you can use to ensure that your work is approved on time. Keep reading for more information on:
- Seeing when someone's viewed but not responded to your request,
- How to send additional reminders prompting users to respond,
- Acting on behalf if you've bumped into someone in the hallway or gained approval by alternate means
Whether you have full access to a project, or access to your approval only, this guide provides you with two key ways to access more information on work that's been forwarded for approval or feedback.
Viewing the Status of Work When You Have Access to the Project
As the person forwards work to other people for review, it may be handy to keep track of how that approval is progressing. To view the status of work that's been forwarded for approval or feedback, head to the Projects list and access your project.
Then click into the Blue Arrow Icon next to the Approvals heading.
For the item you'd like to review, click the blue information icon .
When you've forwarded work for approval or feedback, you'll notice a forward icon. Other users on the project team won't see this icon next to your name, only that your approval is pending. Click on it to view more information about the status of the forwarded item.
This icon shows next to the person who has forwarded off the work. In the example below, we can see that Stefan was sent work for approval.
Stefan has forwarded work to the General Manager at Level 1. The General Manager has approved the work. We are now waiting on the Retail Head of Department to review the work in the workflow. Once the Retail Head approves the work, Stefan will need to collate the feedback to close the loop.
You may click the blue i icon in this pop-up in order to view a similar page for the forward workflow specifically, which will include the submission details, approval status and date stamps for the forward sent off.
You can also click the settings icon to act on behalf of the users, or send reminders out.
Viewing the Status of Forwarded Work Without Access to the Project
You can also view the status of work that you have forwarded off from the full screen approval view.
After you forward work for approval or feedback, you can find a quick summary of forwarded work via the Forwards tab in your Full Screen approval view. This view may be mosthelpful if you only have access to the approval view, and not the project. It's also a quick way to gauge who's responded to your forward request.
Start by accessing your approval. From the full screen approval view, ensure that the Forwards tab is highlighted along the right side of your screen. By default, you'll only see the users who have already responded to your request. You can also click the link to Show All Approvers to see the remaining users who may not have responded yet.
The status icons will give you a high level overview of whether people have looked at, approved or requested changes on the work.
From this page, you can also view Details of that forward, or click the Settings Icon next to your name to Remind All approvers to action the work.
For each individual user, you can manually Send Reminder messages or Act on Behalf of specific users to approve the work.
