Creating a New Message
Admation comes with an in-built messaging platform as standard, to keep track of your project's messages. Whilst you can send project-specific messages from a project, this guide discusses the messages tab at the top of your screen, which encapsulates messages from all projects across admation.
To start, click the Messages icon at the top of your screen. A number next to this icon suggests that you have an unread message.
From your inbox, you can see all messages sent to you by team members, or via an admation system notification. To create a new message, click New Message. It's a green button on the top right hand side of your screen.
From the resulting page, you'll be able to create your message and add your content. Like an email, you'll be able to type in a name to send your message to an existing user.
As of admation 3.95, we've re-introduced the ability to save messages to a drafts folder!
Editing Your Recipients
Like an email, admation allow you to add and CC people into messages under our advanced settings. To send an email to a specific person or group, click the Edit Pen icon .
Search through the list of admation users, clicking the green arrow to add people to your email thread. Then for your selected users, you'll be able to use radio buttons to choose whether a contact is a CC or BCC recipient.
Click Done once you're happy with your inputs or keep reading to add user groups or external users to the message thread.
Adding User Groups to a Message
From the edit pencil icon, notice that by default, you have three different tabs to choose from. These are:
- System Groups
- Organisations (for users with specific permissions only)
- External Users
If you'd like to add an admation group to a messaging thread, click System Groups. Clicking the green arrow next to a group adds everybody in that group to the thread.
Or you can click the plus icon to expand the group and select specific users from those groups instead.
Then for your selected users, use the radio buttons to choose whether a contact is a CC or BCC recipient. Click Done once you're happy with your inputs or keep reading to add external users to the message thread.
Adding Organisations to a Message
With the right permissions, your organisation may allow you to send a single message to everyone across your organisation (or related organisations, like agencies!)
Click Organisations to see a list of organisations related to your company. These might include your own organisation, its sub-organisations, related organisations and agencies. Click the green arrow to add an organisation to the list.
By sending to an organisation, every user with an account under the selected organisation will receive your message. These can be great for organisation-wide comms or general messages.
You have the option to Include Sub Orgs related to your business by clicking the icon so that it turns green. This way, businesses with multi-level or multi-layered organisations in admation can communicate with everyone.
Adding External Users to a Message
Sometimes you may like to add external users to a message, but keep track of it in admation. If you'd like to add a non-admation user to a messaging thread, click the External Users tab. Type the email address of the user you'd like to add, followed by their first name and last name.
If the user's email address matches an email that's been sent a message in admation previously, we will pre-fill the first and last names for you. Click Add User to add that person to the messaging list. Then for your selected users, use the radio buttons to choose whether a contact is a CC or BCC recipient.
Click Done once you're happy with your inputs.
Sending a Message
Once you've added the message recipients, fill in the message subject and message. You can also set a priority level and add attachments if you wish. You can click Send once you're done.
Alternatively, you can click Save Draft to access your message from your Drafts folder later!
