Department Manager Summary (Resources) vs Project Resources
Sometimes users find it difficult to discern between the resource manager summary screen and project resources. This specific FAQ guide walks you through the differences between the two.
Department Manager Summary (Resources)
The Department Manager Summary is a menu tab that's available only to users who are set up as department managers. It's found at the top of your screen under the button Resources.
The Department Manager Summary screen will show a list of all team members in any department that you're managing.
The default view shows the capacity of all team members in your group. It takes into account any annual leave or out of office requests, tasks currently assigned to users via the project resources, a user's standard working hours and breaks and meetings scheduled via admation.
The Department Manager Summary shows the number of resources in a department, and the number of departments you manage.
You may opt to toggle between the different resourcing summary views including:
- By User – shows a summary of work based on individual user capacity. The by user view also includes a Gantt or Detailed view.
- By Project – shows a summary of work for each project in admation
From this view, you may also:
- Create a new task
- Create a new meeting
- View and schedule away days for team members in your department.
The Department Manager Summary also has different options to search resources, filter through tasks, change timeline views and to show weekends for everything assigned to users in your department. You can also toggle between views for % capacity, graphs, and # hours available.
You can manage resources for a specific project using the Project Resources below.
Project Resources
Project resources are linked to specific projects only. You can find project resources by heading to the Projects list and selecting the project you'd like to view resources for. On the right hand side of the screen, you'll see your Project Resources. These resources are specific to your project only.
You will only see the Project Resources button from the project, or sub-project level of a project. Therefore, this button won't show when you click into a deliverable.
From the project resources, you can create new tasks, assign tasks for that project and edit resource allocations. There are also different views available in the Project Resources including:
- Project plan – which provides a general overview of a project and its tasks
- By deliverable – which groups tasks by deliverable
- By type – which groups tasks by task type
- By availability – which shows % capacity of users in the system who can be assigned to certain tasks
The project resources also has different options to search resources, filter through tasks, change timeline views and to show weekends for that specific project only.
