In admation, there are two different ways to set up an ANY and ALL approval. This guide will walk you through both options. Choose the workflow that works best for you.
All Approval vs. Any Approval for Groups
Within Admation, you can control how many people are required to give you feedback on a particular approval level. This is done by using the ALL () and ANY (
) buttons. The different approval options are most suitable for groups in an approval submission. If there’s more than one person in a given group, sometimes it can be more efficient to limit the number of people who need to approve or request changes to artwork, for that feedback to be valid.
The icon for an ALL approval looks like this:
The ALL approval is usually selected by default. It suggests that everyone within a given group or team needs to sight and approve the work, to be valid.
The icon for an ANY approval looks like this:
The ANY approval suggests that one person’s approval within that group is sufficient. Once one person within that group responds, no further input is needed from the other group members. That one person speaks on behalf of the rest of the group in order for a response to be valid. In an ANY approval, once feedback is received by one of those group members, the remaining members can no longer provide their feedback on an item (and are locked out from providing feedback).
Using these Approval Types in Context
In the photo below:
- All of the members in the Marketing group will need to provide their feedback
- Any of the members in the Legal group can provide their feedback. Once one of these people provide their feedback, the remaining members of the group will not be able to.
If you're unsure about ANY or ALL approvals, you may want to talk to your Admation Client Success Manager about the best options for your business. You can also apply approval types for levels.
All Approval vs. Any Approval for Levels
You may notice that as well as having ALL or ANY approvals for each individual user in a level or group, you also have these same options available for levels.
In the example below, we’ll continue on with the example from the previous section, which described approval levels for groups. Using this same example:
- All of the members in the Marketing group will need to provide their feedback
- Any of the members in the Legal group can provide their feedback. Once one of these people provide their feedback, the remaining members of the group will not be able to.
However, if you zoom out and focus on the right hand side of the screen, you will see that All is selected for the level. This is what we mean when we refer to All approvals for levels.
The All approval for an entire level means that:
- All of the members in the Marketing group will need to provide their feedback AND
- Any of the members in the Legal group can provide their feedback.
The key word in this example is AND, because what you’ve told the system is that all of the marketing team AND some of the legal team’s input is sufficient here. You only need one lawyer to review the artwork, but everyone in the marketing team needs to be consulted before the work goes into production.
Example 2: Any Approval for Levels
Now onto the next example where, just as before:
- All of the members in the Marketing group will need to provide their feedback.
- Any of the members in the Legal group can provide their feedback. When one of these users provides their feedback, the remaining members of the group will not be able to.
However, if you zoom out and focus on the right hand side of the screen, this time you will see that Any is selected for the level. This is what we mean when we refer to Any approval for levels.
This Any selection means that:
- All of the members in the Marketing group will need to provide their feedback OR
- Any of the members in the Legal group can provide their feedback. Once one of these people provide their feedback, the remaining members of the group will not be able to.
The key word in this second example is OR because it states that either group member’s response is sufficient to represent the entire level. What you’ve told the system here is that either all of the marketing team OR some of the legal team’s input is sufficient to result in a valid response for the level.
