Assigning Tasks to Team Members with Access to the Resource Task List
For most users, only Department Managers will have the permissions to assign tasks to their teams using the task list. This guide focuses on assigning tasks for those with department manager permissions. However, various companies also provide users with the opportunity to self-assign tasks where needed.
To assign a task to someone, click Resources, found on the top navigation bar.
Click the Task List tab to view the different tasks currently assigned to team members working within your department. This particular view provides a list of all assigned and unassigned tasks within admation. From here, you have the flexibility to assign, re-assign and un-assign tasks as needed.
To assign a task, click the assign icon on the right hand side of the task. Or to assign multiple tasks to the same person, select the checkboxes
associated with each task. Once the tasks have been selected, click the assign icon
in the Actions area.
From here, you’ll be able to assign the task to anyone who should be able to complete this task. The people displayed on this list are pre-determined by the Task Types you may have set up in the system for each user (ie. a web designer won’t usually be shown on tasks relating to copywriting).
If you need to, you can also check out this guide for instructions on how to add new task types, or ask a support team member for help!
Doing the Actual Assigning
Drag and drop the task onto the timeline for the person you’re assigning the task to by selecting the grey handles at either end of the task.
The timeline will graphically display the person’s workload capacity to help inform your decision making (and whether or not it’s possible to schedule in the work with that person at that time).
You will also see a person's capacity displayed at the top of a given day, as well as any existing tasks (in your company's colour), any breaks (highlighted in turquoise), any meetings (highlighted in black), and the task's actual deadline, displayed as a red vertical line across the calendar.
Likewise, to un-assign a task, simply click the un-assign icon. Once the tasks have all been assigned, click Done Assigning in the top right corner. The assigned task(s) will be displayed on the timeline for that particular team member.
