Adding External Users to an Approval
When you submit an item for approval, you’re brought to a screen where you can select individuals or teams to approve or review your work. By default, you see the Simple screen, which allows you to add existing admation users to your approval. However, you can also use the Advanced mode to add external users to an approval. Click the Advanced button to toggle between the two modes.
You can click Edit Approvers at the top of the screen. Edit Approvers is most useful if you'd like to edit the approvers across multiple items. You can also select the Pen icon to make your edits for a specific item.
Then click the External Users tab. Type in the email address, first name and last name for that individual.
As of admation 3.94, admation will remember any external user that you've previously entered in this field. Start typing an email, first name or last name in the respective fields to bring up a list of external users that match your search terms!
Click Add User to add that person to the workflow.
On the right hand side of your screen, you may see an Approval Level 1 and All, Any or Continuous options. Continue adding additional users, or check out this guide if you'd like to learn more about these fields.
Click Done once you're happy with your inputs. Continue filling out your approval request in Advanced Mode – or you may switch back to the Simple screen if you're more comfortable with that view. And click Submit once you're ready to send everything off!
An external user will have access to the Approvals Screen only. They will have most of the features available to you on your own artwork approval screen, with the exception of the ability to forward artwork, as they won't be able to do this without an account.
