Adding External Users to an Approval
When you submit an item for approval, you’re brought to a screen where you can select individuals or teams to approve or review your work. By default, you see the Simple screen, which allows you to add existing admation users to your approval. However, you can also use the Advanced mode to add external users to an approval. Click the Advanced button to toggle between the two modes.
Then select the Pen icon next to the Approvers section to make your edits. You can also click Edit Approvers at the top of the screen. It will take you to the same place.
Then click the External Users tab. Type in the email address, first name and last name for that individual and click Add User.
On the right hand side of your screen, you may see an Approval Level 1 and All, Any or Continuous options. Check out this guide if you'd like to learn more about these fields.
Click Done once you're happy with your inputs. Continue filling out your approval request – you may switch back to the Simple screen if you're more comfortable with that view. And click Submit once you're ready to send everything off!
An external user will have access to the Approvals Screen only. They will have most of the features available to you on your own artwork approval screen, with the exception of the ability to forward artwork, as they won't be able to do this without an account.
