Batch Editing Asset Metadata
Assets in admation share a range of details which can be used to help categorise and search for your assets in storage. These specific details are referred to as asset metadata, and this metadata can be edited either for a single asset, or for multiple assets in bulk. Adding and editing assets as a batch is handy if the assets share similar details.
There are a number of touch-points in admation where an asset may be updated in bulk including:
- When adding new files to the asset library
- From the asset library main gallery view, where you can edit asset metadata across multiple projects
- From the asset details page, for multiple assets when stored under the same project
This guide will highlight how to edit asset metadata for each of these different scenarios.
Scenario 1: Batch Edit via Adding New Files
When you are uploading more than one item to the Asset Library, you'll have the option to edit items as a batch at Step 3 of the process.
When batch editing metadata for new files, admation assumes that the metadata will be the same for all the assets you are uploading. By default, Step 3 will let you batch edit the metadata for your files. To do so, click the checkbox to activate that shared field.
Then add your searchable information into the respective fields. Save your changes by clicking Apply Changes to all Assets.
Alternatively, to individually add metadata to your assets from this screen, click the Edit Individually button. Once you’re happy with your changes, finish adding your assets by clicking Next Step to continue adding your asset to the library.
Scenario 2: Finding and Batch Editing Details For Existing Items in the Asset Library
For existing items in the asset library you'll be able to batch edit metadata for assets, even if they span across multiple projects! To get started, head to your Asset Library and click the Checkboxes for each item you'd like to edit in bulk. Then click the Group Edit button.
Scenario 3: Finding and Editing Details For Items Stored Under the Same Project
From the asset library, you can view individual asset details by clicking the i icon. You can also click the thumbnail image. If you click into an asset that's part of a wider project, you will be able to Batch Edit Metadata for each of the items in that wider project. Click the relevant button on the right hand side of the screen and then choose the item(s) you would like to edit as a set.
Next Steps: Editing Assets as a Batch
From the resulting screen, you'll be able to batch edit the data for each of the files you selected. All files to be edited show as thumbnails across the left side of the screen. Click a checkbox and make your edits. By highlighting the checkboxes, you're making that specific change across all selected assets.
Click Apply Changes to All Assets, then click Save once you're happy.
Alternative Steps: Editing Assets Individually
If you'd prefer to make changes to individual assets in this list, hit the button to Edit Individually or click on any of the individually listed assets to make specific edits.
When editing a single assets at a time, you'll see the single item's thumbnail across the left hand side of the screen. Make your edits until you are happy with your changes.
Click Next or Prev to toggle between assets. You can also click Edit Batch to revert back to the previous batch editing view.
Remember to Save your changes at the top of the screen once you’re done!
