Finalising a Deliverable or Project
Finalising deliverables keeps things nice and neat in admation, by removing old files from your Projects list. It is similar to clearing your desktop of those files that would otherwise clutter up your home screen. This guide shows you how to finalise deliverables, ensuring they can be easily retrieved from Ad Storage at a later date, if required.
Checking an approval status
Before finalising a deliverable, check that the deliverable has been approved. You can do this by going to the Projects list. Then click your project and select the deliverable found on the left side menu.
If the deliverable has been approved, you will see a green tick icon. If your ad has been approved, you might want to consider finalising this deliverable.
Finalising a Deliverable
Click the Finalise button. Note that you can find the Finalise button under your deliverable and under your main project folder. If you finalise the deliverable from the project level, you'll be asked to select which deliverables to finalise from a pop-up window.
Select the deliverable(s) you would like finalised. To finalise all approved deliverables within a project, simply click the checkbox in line with that project. Click the Finalise button again to proceed.
Deliverables that are still Pending or Rejected won’t be shown in this view. You’ll need to have those approved before finalising those assets. Chat to the right people within your team, or your admation contact if a pending or rejected item needs to be finalised.
The next screen prompts you to confirm your selection.
Marking Items as Confidential in Ad Storage
If you wish to limit the level of access to this deliverable, tick the Confidential box. The deliverable will then only be accessible to you. If you’d like, you can still add other stakeholders to the access list, post-finalisation.
Setting a Usage Expiry Date
If you wish to limit how long an asset is available to download or send out of the system, you can set a usage expiry date. If you'd like to learn more about what happens once a usage expiry date elapses, you can check out this FAQ Guide.
Then click the green Finalise button. Then click OK to complete the process.
Congratulations! Your deliverable has been finalised. A black and white icon with a tick indicates that the deliverable has been successfully finalised. The deliverable(s) will be available in the Ad Storage section. Admation will then give you the option to Select Finalised Assets. This automatically selects the assets you've just finalised, so that you can Group Edit their metadata and set file access restrictions in just a few easy clicks.
From the Ad Storage, you may also like to check our item out of the system using the cart. By checking finalised items out of the system using the cart, you can also keep track of a file's download history.
