Finalising a Deliverable or Project

Finalising deliverables keeps things nice and neat in admation, by removing old files from your Projects list. 

Finalising deliverables is similar to clearing your desktop of those files that would otherwise clutter up your home screen. This guide shows you how to finalise deliverables, ensuring they can be easily retrieved from Ad Storage at a later date, if desired.

Checking an approval status

Before finalising a deliverable, check that the deliverable has been approved. You can do this by going to the Projects list. Then click your project and select the deliverable found on the left side menu. 

If the deliverable has been approved, you will see a green tick  icon. If your ad has been approved and if it is unlikely that further changes will be made, you might want to consider finalising this deliverable.

Finalising a Deliverable

Click the Finalise button, found under your deliverable and under your main project folder.

Admation will show you a list of deliverables that are eligible to be finalised. Usually only approved deliverables from your project will show in this list. Choose one deliverable, or multiple deliverables by using the checkboxes, if you'd like to finalise items to the Ad Storage in bulk.

To finalise all eligible deliverables within a project, simply click the checkbox in line with that project. Click the Finalise button again to proceed.

The next screen prompts you to confirm your selection.  

Marking Items as Confidential in Ad Storage

If you wish to limit the level of access to this deliverable, tick the Confidential box. The deliverable will then only be accessible to you. If you’d like, you can still add other stakeholders to the access list, post-finalisation.

Setting a Usage Expiry Date 

If you wish to limit how long an asset is available to download or send out of the system, you can set a usage expiry date.  The default usage expiry date is 3 months. If you'd like to learn more about what happens once a usage expiry date elapses, you can check out this FAQ Guide.

Then click the green Finalise button and confirm your selections to finish the process.

Congratulations! Your deliverable has been finalised and your project has been closed off. A black and white icon with a tick indicates that the deliverable has been successfully finalised. The deliverable(s) will be available in the Ad Storage section.

Admation will give you the option to Select Finalised Assets. This automatically selects the assets you've just finalised, so that you can Group Edit  their metadata and set file access restrictions in just a few easy clicks.

From the Ad Storage, you may also like to share an item outside of the system using the cart. By checking finalised items out of the system using the cart, you can also keep track of a file's download history.

Locating a Recently Finalised Project

As of admation 3.96, your recently accessed finalised projects will show in your recent activity with a green folder icon . You can also check out this guide for more information on finding older finalised projects.
